Terms of Service

1. Acceptance of Terms
By accessing or using DocumentFlowAI (“the Service”), operated by TechPhysic (“we”, “us”, or “our”) at trydocflow.com, you agree to be bound by these Terms of Service (“Terms”). If you do not agree to all of these Terms, do not access or use the Service.
These Terms apply to all visitors, users, and others who access or use the Service (“Users”). By creating an account or using the API, you confirm that you are at least 18 years old and have the legal capacity to enter into a binding agreement.
2. Description of Service
DocumentFlowAI provides a document intelligence API that extracts structured data from documents such as invoices, payslips, bank statements, Aadhaar cards, PAN cards, and other document types using artificial intelligence. The Service is accessed programmatically via REST API and through our web dashboard at trydocflow.com.
We reserve the right to modify, suspend, or discontinue the Service (or any part of it) at any time, with or without notice. We will not be liable to you or any third party for any modification, suspension, or discontinuation.
3. Accounts and API Keys
To use the Service, you must register for an account. You agree to provide accurate, current, and complete information and to keep your account information updated. You are responsible for maintaining the confidentiality of your API keys and for all activity that occurs under your account.
- API keys must not be shared publicly or embedded in client-side code.
- You must notify us immediately at [email protected] of any unauthorized use of your account.
- We reserve the right to suspend or terminate accounts that we believe have been compromised or are being misused.
- One account per person or organisation. Creating duplicate accounts to circumvent usage limits is prohibited.
4. Acceptable Use
You agree not to use the Service to:
- Upload or process documents you do not own or have no right to process.
- Violate any applicable law, regulation, or third-party right, including privacy laws and data protection regulations.
- Transmit documents containing malware, viruses, or any malicious code.
- Attempt to reverse-engineer, decompile, or derive the source code of the AI models powering the Service.
- Resell, sublicense, or white-label the Service without our prior written consent.
- Use automated scripts to exceed your plan's rate limits or to circumvent any access controls.
- Process documents on behalf of third parties without ensuring you have appropriate authorization from those third parties.
- Use the Service to build a competing product or service.
We reserve the right to suspend access immediately if we detect usage that violates these terms or that we determine in our sole discretion is harmful to the Service, other users, or third parties.
5. Plans, Billing, and Payments
The Service is offered under a free tier and paid subscription plans (“Plans”). Plan details, pricing, and included monthly extraction quotas are listed on our Pricing page.
- Billing cycle: Paid Plans are billed monthly. Subscriptions auto-renew at the end of each billing period unless cancelled before renewal.
- Payment processors: Payments are processed securely by Paddle (international) or Razorpay (India). We do not store your card details. Your use of these payment services is also subject to their respective terms and privacy policies.
- Taxes: Prices displayed may be exclusive of applicable taxes (GST, VAT, etc.), which will be added at checkout based on your billing location.
- Quota overage: Calls that exceed your monthly quota are rejected with a
429status code. Unused quota does not carry over to the next month. - Plan upgrades/downgrades: Upgrades take effect immediately. Downgrades take effect at the start of the next billing cycle.
- Refunds: We do not offer refunds for partial months or unused extractions. If you experience a service outage lasting more than 24 consecutive hours and contact us within 7 days, we may issue a pro-rated credit at our discretion.
6. Rate Limits
All Plans are subject to per-minute rate limits in addition to monthly extraction quotas. Detailed limits are listed on our Rate Limits page. Exceeding rate limits results in a 429 Too Many Requestsresponse. We reserve the right to adjust rate limits with 7 days' notice.
7. Document Data and Privacy
You retain full ownership of the documents you submit to the Service. By submitting documents, you grant us a limited, non-exclusive, royalty-free licence to process those documents solely to provide the extraction Service to you.
- Documents are uploaded to encrypted cloud storage (Cloudflare R2) and processed using Anthropic's Claude AI models.
- We do not use your documents to train AI models without your explicit consent.
- Document files and extracted results are retained for 30 days after the extraction request, after which they are permanently deleted.
- You are solely responsible for ensuring you have the legal right to process any personal data contained in the documents you submit, and for complying with applicable data protection laws in your jurisdiction (including GDPR, CCPA, and equivalent regulations).

8. Intellectual Property
The Service, including its design, software, documentation, and underlying AI models, is the exclusive property of TechPhysic and is protected by copyright, trademark, and other intellectual property laws. These Terms do not grant you any right, title, or interest in or to the Service, other than the limited right to access and use it in accordance with these Terms.
You retain all rights to the extracted data output generated from your documents. We claim no ownership over the structured JSON results returned to you.
9. Accuracy and Disclaimers
The Service uses AI to extract data from documents. While we strive for high accuracy, extracted data may contain errors, omissions, or misinterpretations — especially for documents with poor image quality, unusual formatting, or handwritten content.
The Service is provided “as is” and “as available”, without warranties of any kind, express or implied. We do not warrant that the Service will be error-free, uninterrupted, or that extracted data will be accurate, complete, or suitable for any particular purpose. You should always validate extracted data before using it in critical business processes, financial decisions, or legal matters.
10. Limitation of Liability
To the maximum extent permitted by applicable law, TechPhysic and its directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities, arising out of or related to your use of (or inability to use) the Service, even if we have been advised of the possibility of such damages.
Our total liability to you for any claim arising under these Terms shall not exceed the amount you paid to us in the 3 months immediately preceding the event giving rise to the claim, or $50 USD (whichever is greater).
11. Indemnification
You agree to indemnify, defend, and hold harmless TechPhysic and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in any way connected with: (a) your access to or use of the Service; (b) your violation of these Terms; (c) your violation of any third-party right, including any intellectual property right or privacy right; or (d) any claim that your use of the Service caused damage to a third party.
12. Termination
We may suspend or terminate your account and access to the Service at any time, with or without cause, and with or without notice, including if we believe you have violated these Terms. Upon termination:
- Your right to access the Service ceases immediately.
- Your stored documents and extraction records will be deleted within 30 days.
- Any outstanding fees become immediately due.
You may cancel your account at any time from your dashboard. Cancellation takes effect at the end of the current billing period.
13. Governing Law and Disputes
These Terms are governed by and construed in accordance with the laws of India, without regard to its conflict of law provisions. Any dispute arising out of or relating to these Terms or the Service shall be subject to the exclusive jurisdiction of the competent courts, or resolved by binding arbitration at your election.
Before filing any legal action, you agree to first attempt to resolve the dispute informally by contacting us at [email protected]. We will attempt to resolve the dispute within 30 days of receiving notice.
14. Changes to Terms
We reserve the right to update these Terms at any time. We will notify you of material changes by posting the updated Terms on this page and updating the “Last updated” date above. For material changes, we will also send an email notification to the address associated with your account at least 14 days before the change takes effect. Your continued use of the Service after the effective date constitutes your acceptance of the revised Terms.
